Welcome to the December 2023 release of Latner Software. There are many updates in this version that we hope you'll like, some of the key highlights include:
Summary of changes:
Photos can be captured when completing a mobile return
Auto complete rental contracts when the final invoice has been run in cycle billing
Users can tick a box when completing a mobile return that a damage check is required
A new permission has been added to allow users to cancel a customer invoice

Details of changes:
Photos can be captured when completing a mobile return
When a user is completing a mobile return they now have the ability to capture photos. These photos can be viewed in the return tab in rental contract details.
Users can tick a box when completing a mobile return that a damage check is required
When a user is completing a return and they notice potential damage, they can now select a checkbox “Damage check required”. This will add a damage line to the rental contract for $1 as a reminder to follow up on the damage before completing the rental contract. The full damage checks should still occur during the return inspection, and users should be ensuring they do not invoice the customer $1. The line should either be deleted, updated to reflect the actual damage, or a customer damage work order should be created.
Auto complete rental contracts when the final invoice has been run in cycle billing
When a user is completing cycle billing for Final Invoices, previously they had to go through and complete each rental contract manually. Now once cycle billing is run, it will automatically complete the rental contracts.
A new permission has been added to allow users to cancel a customer invoice
Users now have the ability to cancel a customer invoice to fix billing errors. Customer invoices can only be cancelled in newest to oldest. When cancelled Latner will:
Update the customer invoice to Cancelled
Update the rental contract details on how much has been invoiced & the invoice to date
Update the rental contract detail status
Cancel the invoice in Xero (if it has been synced)
The user can then fix the error, and re-generate the customer invoice.
A new permission has been added allowing users to change the equipment number on hire
Users now have the ability to change the equipment number on a rental contract. This function is meant to be used in instances of administrative error only, where the wrong equipment number has been recorded as going out on hire to a customer. This function will change the equipment number on the rental contract detail line as well as any related transport dockets, inspections, invoices and meter readings.
If you are changing the Equipment on hire due to a breakdown or service, then you should be using the equipment swap function.
A new permission to allow for external transport costs to be more than the transport charge
Sometimes expected costs arrive relating to transport, and a price has already been committed to a customer. A new permission has been enabled to allow users to enter in an external transport cost that is higher than the transport charge.
An invoices tab has been added to the customer detail screen
Rather than searching through all customer invoice, a new tab has been added to the customer detail screen that displays all invoices relating to that customer.
A new setting has been added to enforce users to enter a purchase order in rental contracts
Some customers require a purchase order to be provided with an invoice. When creating a customer a new checkbox has been added to enforce a purchase order has been entered before a delivery docket is created.
Once a rental contract has been invoiced the rates & prices are locked down
To reduce invoicing errors, once a rental contract detail line has been invoiced, the rental rates or sales price will not be editable. Soon we will be rolling out a new feature that will allow for a rental rate adjustment that will only apply from that day forward.
When creating a new customer users can allocate a category
When creating a customer you might want to group them into a category. Customer categories can now be configured, and allocated during the create customer process.
Documents can be uploaded against supplier invoices
When enter in a supplier invoice, users now have the ability to attached a document to the supplier invoice.
Users can now put a rental contract on hold to exclude it from cycle billing
If there is a known issue with a rental contract and a user does not want to invoice the rental contract during cycle billing, they now have the ability to put the rental contract billing on hold. Next time cycle billing is run, the rental contract will not be invoiced.
A manual pick up docket can be created for a rental contract
Previously a pick up docket could only be created when an off hire was created. If a user does not create a pick up during the off hire, they can manually create the pick up docket.
Users can edit the actual off hire date up until the invoiced to date
If an off hire has been entered, previously the only want to fix the date was to cancel the off hire. Users can now change the off hire date up until invoiced to date.
A rate variation can be created for equipment rental rates
This is an exciting change that will allow a few layers to rental rates. Lets say you you have both dry hire and wet hire rates against an excavator. Users can now store rate variations against equipment, and allow the user to pick the rate variation. Another example of this could be 12 hour rental rates vs 24 hour rental rates. When the rate variation is selected the updated rental rates will be displayed.

The Latner logo has been updated on the mobile app. This is also a reminder for users that the web app can be saved to their home screen and be run like a normal app on their phone or tablet.
