What are the statuses of a rental contract

When creating a rental contract, Latner applies a structured workflow to ensure a consistent, repeatable process. This framework enables accurate tracking and reporting at each stage of the contract lifecycle.

Outlined below is the status workflow for equipment once it has been added to a rental contract.

Rental Contract Header Statuses

Reserved
Indicates that a rental contract has been created and placed in a reserved state. This status allows you to filter and manage all upcoming reservations.

Active
Represents contracts where equipment has been assigned, transport has been arranged, and the equipment is currently on rent.

Completed
Indicates that equipment has been returned, final invoicing has been processed, and the rental contract is fully closed.

Rental Contract Detail Statuses

Reserved
Equipment has been allocated to the contract, but the method of delivery or collection has not yet been determined.

Pending Delivery
The contract specifies that the equipment will be delivered to the customer. A delivery docket exists but has not yet been completed.

Pending Customer Collection
The contract specifies that the customer will collect the equipment from the branch. A customer collection docket exists but has not yet been completed.

On Rent
Equipment has been either delivered or collected by the customer and is currently in active use.

Off Hired
The customer has indicated that the equipment is no longer required, triggering an off-hire event. A pick-up docket has not yet been created.

Pending Pick Up
The contract specifies that equipment will be collected by transport. A pick-up docket exists but has not yet been completed.

Pending Return
The pick-up docket has been completed, but the yard team has not yet finalised the return process, including fuel check, meter reading, and damage inspection.

Returned
The equipment has been fully returned and processed.
